CREATING LISTS: Click on Marketing > Lists > Create New List button. Type in a name for the list and click the Add people to this list button. Click the Save button to save the list name.

CREATING LISTS: There are multiple ways to add contacts or leads to a list. After creating the list name and clicking to add people to the list 1. To add individual names from the Manage List Members page, select Contacts or Leads and type in a name.

As you type in an individual name the field will auto-populate with the contact or lead name. Select the name and click the Add button to add the member to the list.

2. To add lead names in bulk… from the Manage List Members page, click Leads from the top menu toolbar and select My Leads from the drop-down. Follow the instructions under Add Leads to a List found in this guide. 3. To import a list from the Manage List Members page, select leads and click the Import button. The import adds the names to the list and to the lead management page. Note: This would be used if leads are broken down into multiple spreadsheets as to not add every contact or lead to a specific list. ** Leads or contacts that are added to multiple lists that are selected to be used in a campaign will only receive the same campaign once.

COMPANY NEWSLETTER LIST: To add existing contacts or leads to the Company Newsletter, select Leads > My Leads or Contacts. To select all names, check the empty box by the name field to select all and then check the box to Apply to All Page Results. or check the box by the names to be added, click in the Please Choose field and select Add to list. From the Select a List window choose Company Newsletter and then the Update button. Note: The Company Newsletter is updated monthly and emailed out the first Monday of each month. The newsletter template will be available the first Tuesday of each month to be copied for personal editing and use.

OFFICE SITE LIST & TEMPLATES:

Office staff can create lists and templates specific to their office and make them available to their agents. Agents will have access to the list and templates when they log into their personal CRM account.

ADD CONTACTS OR LEADS TO A LIST:

Click Leads on the menu toolbar and select Contacts or My Leads. Check the box by the specific contact(s) or lead(s) name. If the contacts or leads span multiple pages, check the box “Apply to all page results” and in the Please Choose field, select Add to List. Click in the Select a List field and select your list from the drop-down menu, click Update to add to the list.

Note: To add a specific category of contacts type the category name in the category field and hit the enter key,

follow the above instructions to add the names to a list. To check your list when finished, click on Marketing > List and click on the list name. Scroll to the bottom of the page and select contacts or leads to see the number of contacts or leads added.

SMART LIST: Smart Lists let you set parameters for email marketing lists to be automatically populated with current and future Leads that sign up on your site.

Note: You must have a list already created when setting up a smart list. Select Marketing > Smart Lists.

CREATE SMART LIST:

Select a Smart List (select a marketing list to create a Smart List for the search). Name your Lead Search, E.g., Newsletter List.

You then can use the Lead Search Criteria to set parameters for this Smart List, (E.g., Newsletter Group). You can enter a lead name and only leads with a specific name of your choice will filter to the Smart List.

**Optional: Select a "saved search" from the drop-down list.

Select Show Advanced Search to see more criteria to filter your Smart List. Once you are satisfied with the correct parameters create your Smart List.

Leads who match the criteria you selected are automatically added to the Email Marketing list you designated as the Smart List. Now any lead that sign up on your site who matches this Smart List criteria will automatically be add to your designated list.

SINGLE EMAIL CAMPAIGNS:

Select the Marketing > Campaigns > Create Single Email.

Type in a name for the campaign. The description is optional.

Add Email Subject > Schedule a Delivery. When scheduling, select a date and the clock icon lets you schedule a time.

Click the Design Email button to access a template. Select Choose Existing Email Content to access the Harry Norman templates. Single-click on the template to select.

Choose Recipients by selecting My Company. Select the name(s) of your list and Next.

Check your campaign information and then click Activate to send the campaign.

Note: Sending test emails will not populate the agents contact or image on the template. Agent and dynamic field information will only populate if the external test email address is saved as a Lead in the CRM.

CREATING YOUR DRIP EMAIL CAMPAIGN: Select the Marketing > Campaigns > Create Drip Campaign. Enter a Campaign Name > Next.

Add the Email Name > Email Subject > Send Delay time > Choose Email Content. Select the Existing Email Content tab to access the HNR templates. Single-click on the template to add. To add additional email events click the Add Email Event button.

When all email events are added click Next > choose a recipient by selecting My Company and select your list(s). Click Review > Activate to activate the campaign.

Note: When a new contact or lead is added to a drip campaign list, the contact or lead follows the Send Delay time-frame to receive all campaigns.

ACTIVATION PAGE:

EDITING CAMPAIGNS: To edit a Single Email Event, go to Marketing > Campaigns > Single Email Events button and click on the pencil icon next to the campaign. Information can be edited or a new template can be selected by clicking on the Edit Campaign button. To delete, click the X by the template name. To edit a Drip Campaign, click Marketing > Campaigns > Drip Campaigns and click on the pencil icon next to the campaign. DELETING DRIP EMAIL EVENTS: To delete an individual email in the drip campaign, click on the campaign name and the Edit Email button for the selected campaign. Click Delete Email.

DELETING CAMPAIGNS: Go to Marketing > Campaigns. Select Single or Drip Campaign and then X next to the campaign.

SINGLE EMAIL EVENT STATS Click Marketing > Campaigns > Single Email Event > View Sent. Click on the campaign name and scroll down to the Email Event Stats button. The stats provide information on the Delivery Status, Opened, Clicked, Reported Spam and Unsubscribed.

VIEWING DELIVERY ACTIVITY To view the campaign activity, scroll down to Show Campaign Members and select leads or contacts. To see the delivery status, click the box under Delivery Status to view the status options; Delivered, Dropped, Bounced or Deferred.

• Clicks - are clicks on any clickable action items included in the email like a link. • Drop - means the email isn't returned to the sender. • Deferred - A deferred status can occur when a provider is for some reason not ready to accept email from your IP address. DRIP CAMPAIGNS Go to Marketing > Campaigns. For drip campaigns click the Drip Campaign button > Email Event Stats button in the desired event window.

For single email events click the Single Email Event button > View button. Click on the event name and then the Email Event Stats button. These are the steps to view the stats for Harry Norman monthly newsletter.

PRINT AND MODIFY TEMPLATES An Email Marketing Template can be printed out by viewing as a PDF. To view a template in PDF format, go to Marketing > Email Content > click on the PDF icon.

Enter your agent information to be used as placeholders on the printed template. Click Proceed to View As PDF.

When the PDF file is generated it can be downloaded to save for future use or printed out. MODIFY A TEMPLATE To copy the template, click on Copy if viewing by List View or Clone if viewing by Card View. **Rename the template name and the subject before saving the template. The user merge fields will be auto-populated with the agent contact information and image when the campaign is activated. It can also be edited by clicking on the Insert User Info tab on the menu. All social networking links can be changed to agent links at the bottom of the templates… right click on the social links and select Edit Links. Click the Save button when finished. To change an image, double-click on the image and select the Upload folder.

LAYOUTS On the menu toolbar select Marketing > Layouts > Create New Layout. In the layout builder give the layout a name and add a default subject, and uncheck the box to Share with Child Sites. Click Next.

To add an element, select and drag the element to the canvas or double-click on the element. Each element has editing tools associated with it. To resize the Harry Norman logo, click in the logo field to access the element editing tool.

Hovering over an element on the canvas opens the option window for that element.

CRM GUIDE: PART 2 To return to the element selection window, click the Add More Content link. Note the desired image sizes on the image elements. The Layout link opens the editing tools to change the background colors, fonts sizes of the elements, etc. When finished click the Save as Draft or Publish button to save the template. These templates can be accessed in the Layouts section and will be found under the Main Templates tab when generating a campaign. UNSUBSCRIBE OPTIONS When a contact or lead chooses to unsubscribe, these are the options they see when they click the Unsubscribe link: 1. Unsubscribe from all emails on the agent site. 2. Unsubscribe from all emails on the Harry Norman sites. 3. Subscribe to Daily Sales Search Emails. 4. Email Lists: Subscribed to email campaigns.

EMAILING LEADS & CONTACTS Messages are communications sent from yourself or another user of your site with leads or contacts in your database. When a message is sent or received to an email with an associated lead or contact in the CRM, the email will automatically be logged to the appropriate lead or contact account. Emails will be logged in the Messages section of the Lead and Contact accounts as an individual message. These will be separated in both the Lead and Contact sections by sent and received messages; messages are updated every 15 minutes. Creating a message can be done one of two ways.
